Terms of Service
These terms govern your use of VoiceMint’s AI voice agent service. By signing up for a subscription, you agree to these terms. Please read them carefully — and keep a copy for your records.
1. Who we are
VoiceMint is a trading name of Les Donaldson, a sole trader based in Scotland.

In these terms, “we”, “us”, and “our” refer to VoiceMint. “You” and “your” refer to the customer — the business or individual subscribing to the service.
2. The service
VoiceMint provides AI-powered voice agents that answer your business’s phone calls, qualify leads, book appointments, and send SMS confirmations. We build, host, and manage the agent on your behalf.
The service is delivered using third-party platforms — including but not limited to Retell AI (voice and AI), Twilio (telephony and SMS), n8n (workflow automation), Google (calendar integration), and Stripe (payment processing). You do not need to create or hold accounts with these third-party platforms. We hold those accounts, manage them on your behalf, and bill you directly for the full service.
We may change the underlying third-party platforms we use without notice, provided the service you receive remains substantially the same in functionality.
3. Plans, fees and billing
3.1 Subscription plans
We offer subscription plans at different price points, each with a monthly allowance of call minutes included. The current plans, their monthly fees, and included minute allowances are as published on our pricing page at voicemintai.com at the time you subscribe.
Subscription fees are billed monthly in advance, on the same day each month, starting from the day you subscribe. Your first month’s subscription fee is taken at the time you subscribe.
3.2 Setup fee
A one-time setup fee may apply to each new subscription. The current setup fee for each plan is as published on our pricing page at voicemintai.com at the time you subscribe.
The setup fee is not charged at signup. It is charged 30 days after your subscription begins. If you cancel within your first 30 days, the setup fee is waived in full and not charged.
3.3 Included minutes
Each plan includes a monthly allowance of call minutes, as set out in 3.1. A “minute” means a minute of inbound or outbound call activity handled by the AI voice agent, rounded up to the nearest whole minute per call.
Your included monthly minutes reset on each billing date. Unused included minutes do not carry forward.
3.4 Extra usage (top-ups)
If your call activity exceeds your plan’s included minutes in a billing month, additional usage is charged at 30 pence per minute.
For operational efficiency, additional usage is purchased automatically in pre-paid blocks of 100 minutes at £30 per block (“top-up blocks”). When your included minute balance reaches zero, your saved payment method is automatically charged for a top-up block, and 100 additional minutes are added to your balance. Calls continue uninterrupted throughout.
By subscribing to a VoiceMint plan, you authorise us to automatically charge your saved payment method for top-up blocks as described above, without requiring your specific approval for each charge.
We will:
- notify you by SMS and email when you reach 80% of your monthly included minute allowance
- email you a receipt after each automatic top-up charge
- contact you to review your usage if three or more automatic top-ups occur within a single billing month
Unused top-up minutes carry forward indefinitely while your subscription remains active. They are forfeited if your subscription is cancelled or terminated.
3.5 Payment method
Payment is taken by debit or credit card via Stripe, our payment processor. By subscribing, you authorise us to store your payment method securely (via Stripe) and to charge it for:
- your monthly subscription fee
- your setup fee (on day 30, unless waived under 3.2)
- automatic top-up blocks as described in 3.4
You are responsible for keeping your payment method up to date. If a payment fails, we will retry the charge and notify you by email. If the charge cannot be successfully taken within 7 days, we may suspend the service until payment is resolved.
3.6 Price changes
We may change our subscription fees, included minute allowances, setup fees, or overage rates by giving you at least 30 days’ notice by email. If you do not accept the new pricing, you may cancel before the change takes effect and you will not be charged at the new rate.
Changes do not apply retroactively. Top-up minutes already purchased remain valid at the rate paid.
4. Cancellation and refunds
4.1 No fixed contract
There is no minimum contract length and no tie-in. You can cancel your subscription at any time. On cancellation, your service continues to the end of your current billing month, after which no further charges are taken.
4.2 30-day money-back guarantee (first month only)
If you cancel within 30 days of first subscribing, we will refund your first month’s subscription fee in full. The setup fee is not charged within the first 30 days, so nothing is owed for setup either.
This guarantee applies once per customer and only to the first month’s subscription fee. It does not apply to:
- Top-up charges for minutes that have already been used
- Renewal months (the 2nd month onward)
- Customers who have previously held a VoiceMint subscription
4.3 Refunds outside the guarantee window
After your first 30 days, monthly subscription fees are non-refundable. If you cancel mid-month, your service continues to the end of the current billing month and is not pro-rated.
4.4 How to cancel
Email setup@voicemintai.com from your registered email address with the word “cancel” in the subject line, or otherwise clearly stating your intention to cancel. We will confirm cancellation within two working days.
4.5 What happens on cancellation
On cancellation:
- Your AI agent is taken offline at the end of your current billing month
- Your dedicated phone number is released and may be reassigned to another customer
- Unused top-up minutes are forfeited
- Your account data is retained for the period set out in our Privacy Policy
We will provide reasonable assistance to help you transition away from the service, including (where you request it) forwarding incoming calls to a number of your choice for up to 7 days after your service ends, at no extra charge.
5. Your responsibilities
By using VoiceMint, you agree:
- To provide accurate, complete, and up-to-date information about your business for use in your AI agent’s script (opening hours, services offered, pricing, FAQs, contact details, etc.)
- To inform us promptly of any change to your business that materially affects how the agent should respond — for example, changes to opening hours, services, pricing, or staff
- To use the service only for lawful purposes connected to your legitimate business activities
- To keep your payment method up to date
- To not use the service for unsolicited marketing calls, fraud, harassment, deception, or any activity that would breach UK telecoms regulation, the Privacy and Electronic Communications Regulations (PECR), UK GDPR, or any other applicable law
- To not attempt to reverse-engineer, copy, or extract the underlying AI models, prompts, or workflows used to deliver the service
- To not resell, sublicense, or white-label the service to third parties without our written agreement
You remain responsible for the lawfulness of how the AI agent is used in your business. We are not liable for any consequence arising from inaccurate information you provide, instructions you give us that would cause the agent to make unlawful calls or statements, or actions taken by third parties (including callers) outside our reasonable control.
If you breach any of these responsibilities, we may suspend or terminate your service. Where the breach is serious (for example, unlawful use), we may terminate immediately without refund.
6. Service availability
We aim to keep the service running 24 hours a day, 7 days a week, but we do not guarantee uninterrupted or error-free service. The service depends on third-party platforms (including Retell AI, Twilio, n8n, and Google) whose availability is outside our direct control.
Planned maintenance, where required, will be carried out wherever possible during quieter periods. We will give reasonable notice by email of any planned maintenance that is likely to affect your service for more than 30 minutes.
We do not offer a formal Service Level Agreement (SLA) with availability credits or guaranteed uptime percentages at this time. If a prolonged outage materially affects your service — for example, an unplanned outage exceeding 24 consecutive hours — contact us at setup@voicemintai.com and we will discuss a goodwill credit in line with the impact suffered.
7. Liability
Our total liability to you for any claim or series of related claims arising under or in connection with these terms — whether in contract, tort (including negligence), or otherwise — is limited to the total amount you have paid us in the 12 months immediately preceding the event giving rise to the claim.
We are not liable for any:
- Loss of business, profits, revenue, contracts, anticipated savings, goodwill, or opportunities
- Loss or corruption of data
- Indirect, special, or consequential loss of any kind
- Outages, service interruptions, or service degradation caused by third-party platforms or infrastructure
- Misuse of the service by you, your staff, or anyone you authorise to act on your behalf
- Actions taken or statements made by the AI agent that result from instructions, scripts, or information you have provided
- Acts or omissions of callers, including those who provide false information
Nothing in these terms limits or excludes our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Any other liability that cannot be lawfully limited or excluded under UK law (including your rights under the Consumer Rights Act 2015, where applicable)
8. Data protection
Our handling of personal data is described in our Privacy Policy, which forms part of these terms.
When the AI agent handles calls on your behalf, both you and we may process personal data about your callers (their phone numbers, the content of their calls, any information they provide). For this caller data:
- You are the data controller — you decide what the agent asks callers and what is done with their information in your business
- We act as your data processor — we operate the platform that processes the calls on your instructions
We will only process caller personal data as needed to deliver the service to you and as required by law. We will not use caller data for our own marketing or sell it to third parties.
For your own account data (your contact details, billing information, service configuration), we are the data controller. Our use of that data is governed by the Privacy Policy.
By subscribing, you agree that:
- You will inform your callers that calls may be recorded and processed by an AI system (for example, in your published phone-line greeting or on your website)
- You will respond promptly to any data-subject rights requests from your callers (such as requests to access or delete their information), and we will assist you where we hold relevant data
- You will not use the service in a way that breaches UK GDPR or PECR
9. Changes to these terms
We may update these terms from time to time. The most current version will always be at https://voicemintai.com/terms/ with the “Last updated” date at the top of the page.
For material changes — such as changes to pricing, billing mechanics, cancellation rights, or how we handle your data — we will notify you by email at least 30 days before the changes take effect. If you do not accept the new terms, you may cancel your subscription before they take effect and you will not be bound by the new terms.
Minor changes — such as fixing typos, clarifying existing language, or updating non-substantive details — may be made without prior notice. Continued use of the service after non-material changes are posted indicates your acceptance.
10. Governing law and jurisdiction
These terms are governed by the laws of Scotland. Any dispute or claim arising out of or in connection with these terms or their subject matter is subject to the exclusive jurisdiction of the Scottish courts.
Nothing in this clause affects any non-waivable rights you may have as a consumer under the law of your country of residence in the United Kingdom.
